Returns and Refund Policy

UFA DISTRO LTD always goes the extra mile to facilitate its clientele regarding all Missing and Faulty Product Issues with the intention of making the journey beneficial for them. Faulty Items

If you receive an item that is broken, not functioning properly or doesn’t meet your expectations, rest assured that we are committed to resolving the issue for you. Your satisfaction is our priority, and we’re here to turn any inconvenience into a positive experience. Simply let us know, and we’ll take swift action to address the situation and ensure your smile returns.
Note: In order to better assist you, we may request video or image evidence to validate your claim.

Faulty Item Duration

We now offer an extended return period of up to 90 days from the delivery date.
This gives you ample time to thoroughly inspect your wholesale vaping products and ensure they align with your expectations.

Conditions

Regrettably, items that are physically damaged or compromised cannot be returned. This includes products that have been broken, harmed, or are no longer in good condition. Our aim is to ensure you receive products in pristine condition. Therefore, we are unable to accept returns for items that have sustained damage. If you encounter such items, please reach out to us, and we will work diligently to address the issue and find a suitable solution.

Processing Time

We understand the importance of prompt resolutions. Refunds or Credit Notes might take approximately 3 business days to process. Please rest assured that we are actively working to ensure everything is handled efficiently. Your patience during this process is greatly appreciated.

Missing Items

In the event of missing items, please report them within 48 hours after delivery. It is advised to thoroughly inspect your parcel for any missing items before acknowledging receipt. Precautions can be taken to ensure accuracy when signing for deliveries. Missing Item Forms should be submitted to your dedicated Account Manager.
Disputes may take up to 72 hours or longer to resolve, depending on the circumstances. We meticulously monitor the dispatch process using various methods to expedite resolutions. To facilitate this, we encourage you to submit as much evidence as possible, such as video or photographic proof of collection/unboxing.

Processing Time

For Refunds or Credit Notes related to missing items, the processing time is approximately 5 business days.
We assure you that we are diligently handling your case and ensuring a satisfactory resolution.

Return Procedures

To follow our return/missing items procedure, submit the respective PDF form(s) provided below and send them to your dedicated Account Manager to follow through with your inquiry. Please ensure that you read carefully through the process described below before the submission of any Return applications.

Faulty Items Return Procedure

  • Physically damaged or spoiled goods/products cannot be returned.
  • Returns without a Return Form will take longer to process with no assurances of resolution.
  • For faulty item returns, you’re required to leave a print-out of the Return Form within the return parcel that the warehouse will receive for inspection.
  • To expedite the process, send a copy of the Return Form to your dedicated Account Manager

Missing Items’ Form-Filling Procedure

  • Missing items should be reported within 48 hours after delivery. (Any cause for claim expires after that time frame).
  • Make sure you’ve inspected the parcel for any missing items before signing off the delivery. (Or other precautions in those scenarios where the courier service can be held liable).
  • Missing Items Form should be submitted to your dedicated Account Manager.
  • Disputes can take up to 72 hours to resolve or longer, depending on the circumstances. We make sure to monitor the dispatching of each parcel very closely. We use CCTV footage, order prints, and past conversations to resolve disputes; hence, you are encouraged to submit as much evidence as you can possibly provide to expedite the process.
  • Video or photographic evidence of collection/unboxing are ideally the preferred methods of resolving such disputes.

Expiry Items

Out with the Old: Found something that’s past its prime? If you’ve stumbled upon items that have exceeded their expiration date, don’t hesitate to give us a shout.
